Book a resource using the Outlook Add-in

Once the Outlook Add-in is installed, the GoBright icon will appear in the top toolbar whenever you create a new appointment, either for yourself or on behalf of someone else using a delegated calendar.

In this article, you'll learn how to use the GoBright Add-in to search for and book your preferred resources, such as meeting rooms, desks, and parking spaces. You'll also learn how to add catering and additional services to your bookings.

To get started, open your calendar in Outlook for Windows or Outlook on the web and create a new appointment. Enter a subject and, if required, add attendees for your meeting. Save and close the appointment to allow Microsoft 365 to synchronize the meeting details. This process typically takes a few seconds.

If you want to book resources or add catering and services, wait approximately four seconds after saving the appointment, then reopen it. All GoBright Add-in features will then be available, allowing you to complete your booking.

If the meeting was opened again too soon, a message will be displayed when adding catering services. Please close the meeting and then open it again. All features should now be available.

GoBright Outlook Add-in - Desktop/Windows or Web:

Select the GoBright icon 'Manage meetings' to open the add-in. From there, choose the type of resource you would like to book: a meeting room, desk, or parking space.

In the following section, you can learn how to use the GoBright Add-in to book your preferred resource.

Book a room

Search for a room

GoBright provides various search options and filters to help you quickly find the right available room. You can refine your search based on the following criteria:

  • Choose the right location or leave it to 'All locations'.
  • Select the date, start time and duration of your meeting.
  • Select the number of persons to display only rooms with the required capacity or larger.
  • Additionally, you can search 'Outside opening hours' when the box is ticked.
  • Optional: Select any amenity as an additional search filter.
  • Click 'Search' at the bottom of the page to view all available rooms that match your search criteria.

Select the room

The available rooms that match your search criteria will be displayed. Select the room you would like to add to your booking.

Select 'Filters' if none of the available rooms meet your preferences and you would like to refine your search.

Confirm the booking

When the room is selected, it will be marked with 'Available' in a green colour. 

Tick the box 'Don't ask again (30 days) and click on 'Save and proceed'.

Select a Meeting Type if this option is enabled for the selected room.

At this point it's possible to add more rooms or services to the reservation.

Now confirm the booking by sending the appointment to all attendees.

Book a desk

Search for a desk

The GoBright Add-in allows you to search for and book your preferred desk, provided your desks are integrated with Microsoft 365.

You can improve your search based on the following criteria:

  • Choose the right location.
  • Select the date.
  • Select the time preference of your booking.
  • Optional: Select any amenity as an additional search filter.
  • Click 'Search' at the bottom of the page to view all available desks that match your search criteria.

Select the desk

The available desks that match the criteria will be displayed.

Confirm the booking

When the desk is selected, it will be marked with 'Available' in a green colour.  

At this point, it is not possible to add an additional desk to your booking.

If you click 'Search', you can select a different desk, which will replace your currently selected desk.

Now confirm the booking in Outlook.

Change your booking selection

If you decide to change the desk you selected before saving this appointment, you can select 'Search' to look for another desk. 

Please note, it is not possible to add multiple desks to your booking.

Click on 'Search' to select different desk, which will replace your currently selected desk.

Then you can save the booking in Outlook.

Book a parking

Search for a parking space

The GoBright Add-in allows you to search for and book a parking space based on your preferences, provided your parking spaces are integrated with Microsoft 365.

You can improve your search based on the following criteria:

  • Choose the right location.
  • Select the date.
  • Select the time preference of your booking.
  • Optional: Select any amenity as an additional search filter.
  • Click 'Search' at the bottom of the page to view all available parking spaces that match your search criteria.

Select the parking space

The available parking spaces that match the criteria will be displayed.

Confirm the booking

When the parking space is selected, it will be marked with 'Available' in a green colour.  

Type in your license place or select it from the drop-down list.

At this point, it is not possible to add an additional parking space to your booking.

If you click 'Search', you can select a different parking space, which will replace your currently selected parking space.

Now confirm the booking in Outlook.

Change your booking selection

If you decide to change the parking space you selected before saving this appointment, you can select 'Search' to look for another parking space. 

Please note, it is not possible to add multiple parking spaces to your booking.

Then you can save the booking in Outlook.

When booking a room, you can also add services or pre-registrations to your booking.

Adding Services to your booking

To add a service, make sure to book at least one room that has services enabled. A small food/drink icon will be displayed if services can be enabled for the specific room.

  • Choose 'Add' beneath services to start adding a new service

Service groups and items

Services consists of different groups and items. 

  • Choose a Group of items from the drop-down menues
  • Choose an Item
  • Choose the amount, the price will update accordingly
  • Choose the Cost center
  • Choose when the delivery of the items take place during the booking
  • Choose the Space
  • Optionally it's possible to leave a remark with specific instructions or requests

Make a selection for your order

  • Choose an Item
  • Choose the amount, the price will update accordingly
  • Choose the Cost center
  • Choose when the delivery of the items take place during the booking
  • Optionally it's possible to leave a remark with specific instructions or requests

Confirm the Services

After the services have been requested, they will need to be confirmed.

  • Press Add to add more services to the booking
  • Tick the box 'I am allowed to order services on the chosen cost centers'
  • Press Confirm on the bottom to verify and request the chosen services

Adding Pre-registrations to your booking

To add a pre-registration, make sure to book at least one room that has this feature enabled. A small food/drink icon will be displayed if services can be enabled for the specific room.

  • Choose 'Add' beneath 'Pre-registrations' to start adding pre-registrations for your visitors

Service groups and items

Fill in the form for Pre-registrations:

  • Choose location
  • Choose configuration
  • Choose type of visitor
  • Choose different host if necessary
  • Choose date and time of the visit
  • Optionally choose to Add attendees from booking

Add persons

Add information about your visitors.

  • Press 'Add person' to add as many persons as needed. 

Finish the pre-registrations

After the persons have been added, you can save your meeting and the emails will be triggered. 

  • Press Add to add more pre-registrations to the booking

Important note: You can only add one type of resource per appointment. If you book a meeting room, you cannot add a desk or parking space within the same booking.

You may add multiple meeting rooms to a single booking. However, for desks and parking spaces, only one can be included per appointment.

If you have already selected a parking space and try to add a meeting room, a notification will appear asking whether you want to replace the selected parking space with the meeting room.

If you have already selected a meeting room and attempt to add a desk or parking space, you will be prompted to choose whether you want to proceed with the room booking or switch to another resource type, such as a desk or parking space.
