Booking assistant & privacy
The booking assistant is built on privacy-by-design principles. Data you send is never used to train AI models, never shared with OpenAI or other third parties, and never accessible to other customers.
1. Acts only in the user's context. Every interaction runs with the signed-in user's own permissions. The booking assistant can only reach data the user is already authorised to access (for example, via the portal); it cannot escalate access or act on another user's data.
2. Minimal data sent to the model. To interpret what the user is asking, the booking assistant sends the message to a large language model (LLM) hosted in Azure OpenAI. Before the text is sent to the LLM, a redaction step detects and masks common categories of personal data. Only this intent message reaches the model — no booking data, names, or other business data is sent. The LLM is used solely to determine intent; the request itself is then carried out inside our own systems, under the user's permissions.
3. Enterprise-grade Azure OpenAI. The model runs in our own Azure subscription in an EU region. Microsoft contractually commits that prompts and completions are not used to train any models and are not shared with OpenAI, and data is encrypted in transit and at rest.
4. Roles under GDPR. In data-protection terms, as covered by our DPA, GoBright acts as a processor on your behalf, and Microsoft (Azure OpenAI) acts as a sub-processor, governed by Microsoft's Data Protection Addendum (DPA). No personal data is shared with any party outside this chain.
