There are several convenient ways to book a desk, allowing you to choose the method that best fits your workflow and preferences. Whether you’re planning ahead or making a last-minute reservation, GoBright offers flexible booking options to suit different needs.
In this article, we’ll walk you through each available booking method, including step-by-step guidance on how to use them effectively.
Book via Dashboard in the GoBright Portal
The GoBright portal features a clean, user-friendly interface that makes searching for and booking workplaces simple and efficient. Its intuitive design aligns closely with the GoBright Mobile App, providing a consistent and seamless experience across both platforms.
Different colors are displayed on the map to indicate the current status of each desk. Please refer to the legend for more details.
You can book a desk by using the Search function to filter options based on your specific preferences, or by selecting a desk directly from the interactive map. Both methods provide a fast and convenient way to find and reserve the workspace that best suits your needs.
1.1. Search - Use the filters to narrow down your options and find a desk that’s just right for you.
Find my colleague - You can search for a colleague to see where they have meetings scheduled for the day. Click the small icon to locate the room on the map.
Smart Search - All your bookings for the day are displayed on the left-hand side. For example, if you have a desk booked from 11:15–12:15 and again from 13:15–17:15, the ‘+ Add booking’ button will appear in the gap between those times.
This feature makes it easy to find and book a desk during the available time in between. The system automatically suggests desks based on that open time slot, helping you optimize your schedule with minimal effort.
Time preference - Fixed time periods can be set for Desk bookings in both the GoBright portal and mobile app. This allows users to quickly make reservations without manually selecting start and end times.
You can choose from the following predefined booking options:
Half day - Morning
Half day - Afternoon
All day

Team booking - As a team manager, you have the ability to create team bookings by reserving desks on behalf of your team members. This feature is especially useful when planning in-office days, ensuring that your team is seated together and has the necessary workspace available.

1.2 Mapping - The interactive map allows you to book desks instantly by selecting them directly from the floor plan. Floor plans for all building levels can be uploaded to the GoBright portal, making it easy to navigate to the correct floor or department and choose your preferred desk location.
Simply hover over a desk to view additional details such as availability, amenities, or current status.
Clicking on a green (available) desk opens a pop-up displaying the available time slots. Simply choose your preferred time slot, and the booking window will appear, allowing you to complete your booking quickly and easily.
Advanced booking and Advanced time selection
With Advanced Booking, you can customize the date, time, and set the recurrence of your Desk booking choosing to repeat it daily, weekly, monthly, or yearly. This is available only for non-integrated desks. Within the booking window, you can easily adjust the date and time if needed.
Note: Dashboard without Mapping – Mapping is an optional feature. If your license does not include Mapping, the Dashboard will still provide an overview of your bookings and allow you to search and book desks using the Search and Smart Search options.

Book via the Gobright mobile app
Booking a desk is quick and easy with the GoBright Mobile App. Simply open the app, search for a desk that meets your preferences, such as location, availability, or specific equipment, and confirm your booking in just a few taps. The app offers a fast, flexible way to manage your workspace reservations on the go.
- Log in to the app and choose 'Search' at the bottom
- Choose the date, starting time, duration, desk type and amenities you need
- Click on 'Book a desk'
- Select a desk
- Choose 'Save'
Book via the Interact
The GoBright Interact device also offers a convenient way to book a desk directly on-site. For detailed instructions, refer to the article How to book a room or desk using the Interact.
Book via your personal calendar
- Open your personal calendar in Outlook / Office365 / Google G Suite
- Schedule an appointment
- Invite/choose a desk
- Save the booking
- The desk will process the booking
- GoBright will synchronize the desk calendar

Book via the Map viewer
The Map viewer is designed to be displayed on a touchscreen at the entrance of a floor or building, offering a quick and intuitive way to book available desks.
Select a floor or building from the panel on the right-hand side.
Tap on an available desk directly on the map.
Choose a quick booking preset or select a custom time slot.
Note: Authentication methods and time slot presets are configurable by the administrator.
There are two versions of the Map viewer which can be configured in the Map viewer profile.

In Map viewer Theme Version 2, you can now search for desks using the built-in search functionality.
Book a desk in specific zone
Zone Booking is a recent addition to the GoBright portal that enables you to group desks into defined zones. Rather than reserving a specific desk, users can book a spot within a zone.
When a user books a zone, they reserve access to that area without needing to select an individual desk. Upon arrival, they can choose any available desk within the booked zone. This approach is ideal for organizations aiming to simplify desk management.
Hover over any desk in the zone to view the number of available desks. To make a booking within the zone, simply click on any desk. If check-in is required, you can complete it by scanning the NFC or QR code sticker.
Note: Zone booking doesn't work with Map viewer Version 1.
