Switching to Microsoft Graph API integration

Microsoft has announced the deprecation of Exchange Web Services (EWS), starting from October 1st, 2026. The replacement is an integration via Microsoft Graph.

What action is required?

To ensure GoBright continues to function correctly, a migration to the Microsoft Graph API integration is required before October 1st, 2026. This migration is expected to take less than 1 hour. This migration consists of two parts:
1.    Changes must be made in the Microsoft 365 Admin portal.
2.    The integration settings in GoBright must be updated with the new values from the Microsoft 365 Admin portal.

Key differences compared to the previous EWS integration:
•    Full adoption of Microsoft Graph API.
•    Improved scoping to only the Calendar, which improves security.

Switching to Microsoft Graph API integration from an existing O365 Integration is simple and straightforward with only a few steps needed to be made.

Please note: Although downtime is not expected during the migration, brief interruptions may occur in some cases while the integration is being switched to Microsoft Graph API and the calendar is relinked. Once the integration has been set up successfully, no further interruptions are expected.

Migration steps:

When logged into the GoBright portal with an admin account, you can press the Four Squares on the top right corner and Select the Admin Center.

Go to Integrations and select the existing integration.

Important: Please modify the existing Microsoft integration rather than creating a new integration. Creating a new integration can cause existing bookings and related data to become unlinked or deleted when resources are linked to the new integration.

This may affect:

  • Existing bookings
  • Linked catering services
  • Meeting IDs
  • Pre-registrations

To prevent these items from being lost or incorrectly linked, always migrate the existing integration rather than creating a new one.

You will see the following screen with the Microsoft Graph API enabled for your environment:

After clicking on the “Using Microsoft Graph API” button, a popup message will appear asking to save the changes and with that the Microsoft Graph API integration will be enabled.

You should see the following screen with the Microsoft Graph API box checked.

After enabling Microsoft Graph API, the Calendar link will become red and unlinked. At this step, relinking of the Calendar is required.

For this you need to use a Global Admin Account of Azure/Entra ID.

When Signed In, another prompt will be triggered that will Request Permissions.

When accepted, a new GoBright Calendar Graph Enterprise Application will be created and GoBright can communicate with the Room Calendars.

After linking the Calendar and everything is green and linked, you can save the integration by clicking on the blue Save button on the top right corner.

Optional step:

If you wish to do calendar restriction please follow these steps:

  1. Create a new restriction policy for the GoBright Calendar Graph application (Step 4 in this article)
  2. Remove the old restriction policy associated with the previous application (Step 4 in this article)
  3. Delete old enterprise app 'GoBright Calendar Application Mode'
