Important note: All data is collected anonymously, and no personal data is stored within GoBright Analytics.
GoBright measures the occupancy of rooms and desks, providing valuable insights through the Analytics section of the GoBright Portal. These insights help you understand how efficiently your workspaces are being used and identify opportunities to improve occupancy and optimize office space.
To access the analytics, log in to the GoBright Portal using your manager account and navigate to Analytics.

Occupancy
The Occupancy Report provides insights into how rooms and desks are being used by displaying occupancy rates based on different metrics.
Occupancy is presented as a percentage of the total available time. By default, the available time is set to 08:30–17:00, but you can adjust this time range to match your organization's working hours.
The metrics available in the report depend on your GoBright license and the hardware installed in your environment. The following occupancy metrics may be available:
Bookings: the occupancy percentage of reservations that have been made. This shows bookings that have been made on bookable spaces.
Non-bookable spaces are not included, as there are no bookings on those spaces.No-shows: the occupancy percentage of the time that a space was booked, but no one showed up.
So if a space was booked from 08:30-17:00 and this becomes a no-show, this will result in a no-show occupancy percentage of 100% for that space on that day (assuming the default opening times of 08:30-17:00 are used).
In general, this metric gives you insight into how well there is lived up to bookings that are made.Detected occupations: the occupancy percentage based on actual occupancy as measured by the occupancy sensors.
Check-in at Connect/Interact: the occupancy percentage of the checked-in time, that users are checked-in via the GoBright Connect/Interact device on non-bookable desks.
Report type
Select the report type to view occupancy data per day or per hour.
- Per day displays occupancy data for the selected days.
- Per hour shows occupancy by hour, making it easy to identify peak usage periods throughout the day.
Location & Date range
Select the location for which you want to analyze occupancy. You can choose any level of your location hierarchy, from all locations down to an individual building, floor, room, or desk.
Next, select the date range to define the period that should be included in the analysis.
Time
The selected time range determines the maximum available occupancy time used in the report. Occupancy percentages are calculated based on this period, meaning the selected time range represents 100% occupancy.
For example, if the time range is set to 08:30–17:00, occupancy is measured as a percentage of those 8.5 available hours.
Example 1 'Company A':
Company A has opening hours each Monday till Friday from 08:30 to 17:00.
When Company A filters its data using the settings above it will need to set the time between 08:30 and 17:00 and use the 'working days only' checkbox.
If Company A would set their time between 08:00 and 17:00, the 100% occupancy is only reached for e.g. bookings that start (or before) 08:00, and end at 17:00 (or later). As this would normally not happen, this will in general result in lower occupancy percentages.
Example 2 'Company B':
Company B has opening hours each Monday till Sunday from 08:00 to 20:00. Company B will need to set the time between 08:00 and 20:00 but does not necessarily have to use the 'working days only' checkbox.
If Company B would set their time between 08:00 and 17:00, they would effectively not display data from the last three hours of each day. In this case, it's possible to achieve a 100% 'Booking' occupancy rate easily, but however that data is inaccurate because opening hours are longer than taken into account.
Filters
When analyzing multiple spaces at once (for example, an entire building), only compare metrics that are based on the same set of spaces.
For example, if all spaces are equipped with occupancy sensors, but only some of them are bookable, the Bookings percentage and Occupancy percentage should not be compared directly:
- Bookings are calculated only for bookable spaces.
- Occupancy is measured across all monitored spaces, including both bookable and non-bookable spaces.
To make these metrics comparable, use the Select spaces with filter and enable Bookings. This filters the report to include only bookable spaces, ensuring that all displayed metrics are calculated using the same group of spaces and can therefore be compared accurately.
Display occupancy top 10
In the Analytics tab choose Analytics > Occupations top 10.
This report provides an overview of the most and least utilized rooms and desks. The same filters available in the Occupancy report can also be applied here.
You can rank the Top 10 spaces based on either bookings or actual usage (occupancy sensor data), giving you a quick overview of your most popular and least frequently used spaces.
Display no-shows
In the Analytics tab navigate to Analytics > No-shows.
This report provides an overview of booking organizers and the percentage of each reservation during which the booked room or desk remained unused.
The report helps identify situations where spaces are reserved for longer than they are actually occupied, allowing you to spot underutilized bookings and opportunities to improve workspace efficiency.
Booking history
Navigate to the Booking History section to view detailed reports on bookings made by your users and their booking behavior.
The report includes information such as the booking date and time, location, organizer, early presence confirmation, check-in status, and no-shows.
Review the booking status of each reservation to gain insight into how organizers use their bookings and identify patterns such as timely check-ins, cancellations, or no-shows.
Presence confirmation statuses
The Presence confirmation status is Waiting for presence confirmation – This scenario occurs when the early presence confirmation window is still open and the organizer has not yet confirmed or declined their presence.
The Presence confirmation status is Presence confirmed – This is a scenario when the organizer clicked on the Green button in the early presence email confirmation.
The Presence confirmation status is Presence not confirmed – This is a scenario when the organizer didn't click on any of the buttons in the early presence email confirmation.
The Presence confirmation status is Inactive – The Early presence confirmation is not activated for this resource (room, desk or parking space).
The Booking is not visible although the organizer received an email about the Early presence confirmation – This is a scenario when the organizer clicked on the Red button in the early presence email confirmation.
No show detection statuses
The Organizer is blank and the Confirmation status is Confirmed (by user via portal or display) - This would mean that an Anonymous booking was made on the room panel and someone pressed on the check-in button on the display.
The Organizer is blank and the Confirmation status is Sensor – The room was used by someone who showed up in the room and the sensor picked up the occupancy.
The Organizer is blank and the Confirmation status is blank – In this case a booking was made on the panel anonymously and no one showed up on the meeting in the room. This is a No show.
The Organizer is completed but the Confirmation status is Not confirmed – This is a scenario when the meeting was booked for a time shorter than the No show time frame. For example, if the meeting is booked for 30 minutes and the No show time frame is 45 minutes after the booking started, the platform doesn’t have enough time to obtain the No show status therefore it shows a status in orange Not confirmed.
The Organizer is completed but the Confirmation status is Inactive – It means that this room/desk doesn't have the No Show detection enabled in the profile of the room.
Zone bookings in Analytics
Zone booking analytics provide insights into how desk/parking space zones are used, rather than individual desks/parking spaces. When a zone is booked, the entire zone is considered in the statistics, not a specific resource within that zone.
If a user does not check in, the booking is marked as a no-show, but the system cannot determine which specific resource was intended to be used.
Key points to note:
- Analytics are based on overall zone usage, not individual resource
- No-shows are calculated using check-in data at zone level
- The exact desk/parking space used (or unused) is not known
- Reports reflect how often a zone is booked, checked in to, or marked as a no-show
This approach helps you understand occupancy trends and user behavior at the zone level, making it easier to optimize planning without tracking individual usage.
